The best printer is the one that matches how you'll actually use it. Before comparing models, it helps to answer a few questions about what you print, how often, and from which devices.
What do you print?
- Mostly text documents: a monochrome laser printer is often efficient and quick.
- A mix of documents and color pages: an inkjet or color laser may suit you.
- Photos: inkjet printers are typically stronger for photo quality.
How often do you print?
Printers that sit unused for long periods can behave differently depending on technology. Laser printers use dry toner. Inkjets use liquid ink and may run cleaning cycles. If you print rarely, ask about this when comparing models.
Running costs
The purchase price is only part of the cost. Compare the price and expected page yield of replacement cartridges, toner or ink bottles. Refillable ink tank printers usually cost more up front but are designed for lower running costs per page. Some brands offer optional ink subscription plans; read their terms carefully.
Functions
Decide whether you need scanning, copying or fax. An automatic document feeder (ADF) helps if you scan multi-page documents, and automatic two-sided printing saves paper.
Connections and devices
List the devices you'll print from. If phones and tablets matter, look for Wi-Fi and support for AirPrint (Apple) and Mopria (Android). For a wired office setup, look for Ethernet.
Space and noise
Check the dimensions, including space needed for open trays, and where the printer will sit.
